Participation conditions for exhibitors

1. Place, date and time of exhibition opening

Thursday, 19th May 2011 – the exhibition is open between 9 a.m. and 5 p.m.
Friday, 20th May 2011 – the exhibition is open between 9 a.m. and 3 p.m.

The company TARGI W KRAKOWIE Sp z o.o. (ul. Centralna 41a, 31-586 Kraków) is in charge of the technical issues related to the construction of exhibition stands

 

3. Assembly and disassembly of stands

Assembly hours: Wednesday, 18th May 2011, between 1 p.m. and 8 p.m.

Disassembly hours: Friday, 20th May, between 3 p.m. and 8 p.m.

Stands and displays cannot be partly or totally disassembled before the moment of closing the exhibition. In case the above condition is not met, the organizers may impose a penalty fee of 1000 PLN on an exhibitor and refuse to accept a reservation for future ConExPest exhibitions.

 

4. Registration of exhibitors

Exhibitors who register by 31st December 2010 shall receive a discount of 10% of the stand rental fee. The discount does not apply to any additionally rented elements of stand outfit and additional surfaces, agreed to be rented after 31st December 2010. The official registration of an exhibitor is concluded, once the full amount of the stand rental fee is paid. A stand may be reserved by sending a registration form by fax or e-mail to the address of the Polish Association of Disinfection and Pest Control Professionals. Registrations and stand reservations are made on a first-come, first-served basis

In case the conditions are not met, no complaints shall be considered and they shall not constitute a basis for bringing forward actions against the organizer.

 

5. Cost of participation and rental of exhibition space:

The indicated price covers the cost of rental of 1 m² of space, including standard outfit. In case an exhibitor resigns from the standard outfit, he receives a 10% discount. In case an exhibitor resigns from a part of the standard outfit, no returns for unused elements of the standard outfit shall be made.

The standard outfit covers:

2 or 3 stand walls (depending on stand location)
floor covering at the stand
1 electric socket: 230V 2kW
lighting – 1 halogen light for every 3m² of a stand
wastepaper basket
1 hanger for clothes mounted on stand wall
a frieze for a company name (a company name may be made for an additional fee)


The minimum exhibition area: 6m²

6m²  EUR 120/m² plus 22% VAT
Up to 15m²  EUR 110/m² plus 22% VAT
Up to 20m²  EUR 100/m² plus 22% VAT
Up to 25m²  EUR 95/m² plus 22% VAT
Over 25m²  EUR 90/m² plus  22%VAT (such stands can be rented only upon agreement with the organizer)

A discount of 10% is provided for members supporting the Polish Association of Disinfection and Pest Control Professionals.

Exhibitors who register by 31st December 2010 shall receive a discount of 10% of the stand rental fee.

It is possible to rent additional stand elements in compliance with the specifications in forms 2 and 2a. Filled-in forms should be sent back to the organizer's office

It is possible to rent additional utility services (power supply, water supply, Internet) and have a stand dusted. The cost of additional utility services indicated in the form Filled-in forms should be sent back to the organizer's office

 

6. Payment conditions

The payment for renting an exhibition space and optional additional elements of stand outfit should be made by bank transfer to the account of the Polish Association of Disinfection and Pest Control Professionals.

The fee for the stand must be received at the account of the Association two weeks after receiving the invoice for stand rental at the latest. The invoice may be delivered to an exhibitor by fax, e-mail or by post or courier service. If the payment does not reach the account, the reservation is automatically cancelled and the place is made available for rental. An exhibitor must provide the organizer with an acknowledgment of realized payment.

In case an exhibitor resigns from a reserved space more than 30 days before the commencement of the exhibition, the organizer shall return the amount paid by the exhibitor after deducting the costs related to bank transfers. In case an exhibitor resigns from his participation in the exhibition within less than 30 days before the commencement of the exhibition, i.e. after 17th April 2011, the organizer does not return the amount paid by the exhibitor.

7. Passes for exhibitors

The organizer provides the following numbers of passes for exhibitors
Exhibition area
6m²   - 2 items

Up to 15m²  - 3 items

Up to 20m² - 4 items

Up to 25m² - 5 items

Additional passes for exhibitors may be issued on written demand sent to the organizer. Filled-in forms should be sent back to the organizer's office

8. Preparation, assembly and architecture of a stand

An exhibitor is fully responsible for his exhibition stand. Floors, walls and structural columns of the hall and elements of water-supply, electric and fire protection installations cannot be painted, perforated or sealed in any manner. An exhibitor shall be charged with any damages resulting from failure to follow this rule. The size of such damage shall be assessed by the owner of the facility and shall not be negotiable.

In the stands that comprise structural columns, access to the columns must be ensured at any moment. Columns cannot be enclosed.

 

9. List of exhibitors and advertisement placement

The organizers shall publish the list of exhibitors at the web site of ConExPest.pl. The list shall be available at the web site until the updating of the site for the period of at least 2 years.

The organizers also provide visitors with a list of exhibitors. The list in A5 size with descriptions provided by exhibitors (maximum one A5 page) shall be available to visitors for free. It is possible to insert advertisements into the information guide:

The cost of advertisements:

1 x A5 page – EUR 220.00 plus 22% VAT

1/2 x A5 page – EUR 130.00 plus 22% VAT

It is possible to hang banners inside the hall. The size of such banner should be agreed upon with the exhibition organizer. The cost of banner placement: 15.00 EUR plus 22% VAT for 1 attachment point.
